What is IIA

What does IIA do for your business?

Not a feature catalog. But what is actually taken off your hands in daily work.

IIA Analysis is a business software for companies in Austria. Customer management, quotes, e-mail, calendar, tasks, finance, accounting, time tracking and telecommunications come together in one system. Captured once, available everywhere. You start with one area and switch on more when you are ready.

The people behind IIA

Kristina
Founder & CEO

I'm Kristina, founder of Thelixis e.U. and the developer behind IIA Analysis.

I come from sales and administration in Austrian companies. I introduced large systems myself, maintained them myself and worked with them every day. CRM, accounting tool, time tracking, quoting software: each program good on its own, all of them together a second job.

The first trigger was a telecom invoice. Pages full of phone numbers and line items that were copied into a spreadsheet by hand every month. That became IIA Radar. And from the question why the remaining areas of a company could not come together just as easily grew the platform IIA is today.

IIA is my answer: software that adapts to the company, not the other way round. I am personally your contact, from the first call to daily operation.

Developer

I'm Uroš, developer and part of the IIA team.

What excites me about this project is the impact it has on businesses' day-to-day operations. Scattered data, duplicate entries, seven logins for seven programs and telecom invoices in between that nobody understands. Sorting out exactly this chaos and bringing real overview to the desk is what drives me.

I'm convinced that IIA Analysis makes a tangible difference, not just in numbers but in daily work. And I enjoy not only contributing code, but actively bringing in ideas and helping shape how the product grows.

Being part of IIA means working on something that is genuinely needed.

IIA on the Go: your office fits in your pocket.

Many business owners and their employees spend most of their working day out and about: at the customer's site, on the job, between appointments. That is exactly what IIA on the Go, the mobile view of IIA, is for.

Straight from your phone you add new customers, enter appointments, write notes and tasks, clock in and out, and photograph invoices that land in the Vault immediately.

That way, the important contacts and details from a customer conversation are never lost again — they are available in the office right away.

Mobile view of IIA on the Go on an iPhone: add customer, add appointment, write note, add task, IIA Time and inbox as tiles.
A working day

The same Monday. With and without IIA.

It is not the big tasks that cost the time, but the searching and re-entering in between. Here is a normal working day today, and with IIA.

Without IIA · seven programs

  1. 08:00Open the e-mail program. Look for a request from yesterday, copy the customer data from the CRM.
  2. 08:40Build a quote in Word from an old template. Look up prices in the spreadsheet.
  3. 10:15Customer meeting. Notes on paper, to be typed up later.
  4. 12:30Enter yesterday's hours into the time-tracking spreadsheet, for three projects.
  5. 14:00Write an invoice in the accounting tool. Copy the line items from the spreadsheet.
  6. 16:00Collect receipts from the inbox and the phone's photo roll for the tax advisor.
  7. 17:30Check which invoices are still open. Across three programs.
  8. 19:00File the mobile invoice without reading it.

With IIA · one system

  1. 08:00Open the cockpit. Request, customer and open tasks are on one screen.
  2. 08:15Create the quote directly from the customer contact. Line items and prices are already on file.
  3. 10:15Customer meeting. Notes on the phone in the customer profile, the office sees them right away.
  4. 12:30Time runs through the time clock, project hours are assigned.
  5. 14:00Complete the order. Accounting is automatically reminded to create the invoice.
  6. 14:10Receipts are read and filed with an account suggestion. Export for the tax advisor at the push of a button.
  7. 14:15Open items and due dates are in the cockpit.
  8. 14:20The mobile invoice is read. A warning: the contract expires in 60 days.
Eight areas in detail

What IIA takes off your hands in every area

Every area follows the same pattern: how it works today, how it works with IIA, what you gain from it.

Customers and contacts

How it works today

Customer data sits in the CRM, in Outlook, on business cards and in staff members' heads. Who last spoke to whom is known only to that person.

How it works with IIA

Every customer has a profile with contacts, quotes, appointments, invoices, e-mails and notes. Everyone on the team sees the same status.

What you gain from it

No back-and-forth in the office, no duplicate customer records, no lost inquiries.

Quotes and orders

How it works today

Quotes are built in Word from old templates. Prices are looked up, numbers assigned by hand, status tracked in a list.

How it works with IIA

Quotes are created from the customer contact with line items already on file. Once accepted they become an order, later an invoice. The pipeline shows what is open.

What you gain from it

A quote in minutes instead of half an hour. No quote falls through the cracks any more.

E-mail and communication

How it works today

The inbox is the place where everything lands and nothing is found again. Inquiries, receipts, confirmations, complaints.

How it works with IIA

The inbox is linked to customers. E-mails sit with the customer, receipts are recognized and carried into accounting.

What you gain from it

You no longer search the inbox, you look the customer up instead.

Calendar and tasks

How it works today

Appointments in the calendar, tasks in an app, reminders on notes. What is on today is pieced together every morning.

How it works with IIA

Appointments, tasks, due dates and approvals sit in the cockpit. Appointments are linked to customers and orders.

What you gain from it

The day starts with an overview instead of a search.

Finance and invoices

How it works today

Invoices are written in the accounting tool, line items typed up from a spreadsheet. Who has paid is checked in online banking.

How it works with IIA

Once a quote is won, IIA automatically reminds accounting to create the invoice. Open items, incoming payments and reminder deadlines sit in the cockpit, the bank statement is reconciled.

What you gain from it

You know every day who is still open, without opening three programs.

Receipts and accounting

How it works today

Receipts pile up in the inbox, in a folder and in the phone's photo roll. Before every meeting with the tax advisor the searching begins. What is missing is only noticed there.

How it works with IIA

Receipts land in one place and are read automatically. IIA suggests the booking based on your chart of accounts. The export for the tax advisor is produced at the push of a button.

What you gain from it

You no longer collect retroactively but hand over continuously. The workload spreads out instead of piling up.

Time tracking and staff

How it works today

Hours in a spreadsheet, leave requests by e-mail, sick leave on notes. Nobody knows exactly who is in today.

How it works with IIA

Time clock in the browser, working time accounts, leave and absences under Austrian leave law, personnel files. Absences sit in the cockpit.

What you gain from it

Hours are captured as they happen and flow into the invoice, not into a list.

Telecommunications

How it works today

Mobile and internet invoices arrive as PDFs, get paid and filed. Which phone number belongs to whom and when a contract expires sits in a spreadsheet, if at all.

How it works with IIA

IIA Radar reads the invoices from all major telecom providers in the DACH region, assigns costs to numbers and staff, compares month with month and flags expiring contract terms.

What you gain from it

For the first time you know what your telecommunications cost and when you can act.

Thinking along, not just filing

What IIA takes care of on its own

The idea of software that "thinks along" made real: these tasks run in the background, without anyone having to remember them.

  • Read invoices and receipts automatically, including from photos and PDF attachments.
  • Generate account suggestions based on your chart of accounts and supply your tax advisor with a BMD-compatible export.
  • Flag deadlines, due dates and contract expiries in time, before they become expensive.
  • Keep track of open items, incoming payments and reminder stages and reconcile the bank statement.
  • Reports without manual compilation: revenue, open quotes, cost per cost center, telecom costs per phone number.
  • Detect duplicate invoices before they get paid twice.
Time saved

Three starting situations

What getting started looks like

Short scenarios as examples, not references. Each with: starting point, first step with IIA, day-to-day result.

A service provider working alone

Starting point

Consulting and delivery for customers, quotes in Word, invoices in an online tool, receipts in a box.

First step with IIA

Starts with IIA Pulse and IIA Vault: customers, quotes, invoices and receipts in one place. Existing contacts are migrated during onboarding.

Day-to-day result

Quote and invoice from the same customer profile, receipts sent to the tax advisor continuously, the evening is hers again.

A trade business with six people

Starting point

Orders on paper, hours in a spreadsheet, invoices delayed because the work first has to be pieced together.

First step with IIA

Starts with IIA Time and IIA Vault: time clock, hours per order, accounting automatically reminded once a quote is won.

Day-to-day result

Invoices go out the day after completion instead of two weeks later. Leave and sick days sit in the cockpit.

A retail business with thirty employees

Starting point

Inventory management and accounting run and stay as they are. Only the 35 mobile contracts and the internet lines nobody really manages.

First step with IIA

Starts with IIA Radar as an add-on: upload invoices from all major DACH telecom providers, assign phone numbers to staff.

Day-to-day result

A complete overview of phone numbers, tariffs, devices and contract terms for the first time. No spreadsheet, no changes to existing systems.

Honestly

What IIA does not do

  • IIA does not replace tax advice. It prepares receipts and bookings so your tax advisor has fewer questions.
  • IIA does not rate providers and does not recommend tariffs. The analysis shows what you have and what it costs. What you do with that is your decision.
  • IIA does not guarantee savings. It guarantees overview.
  • IIA does not make decisions for you. It makes sure you make them with complete information.

No. You start with the area that costs the most time today and expand step by step. Data is available in the shared cockpit from the first module on.

Contacts, invoices and receipts are migrated together during onboarding. IIA Radar reads telecom invoices from all major providers in the DACH region directly as PDFs.

Does accounting work with my tax advisor?

IIA Vault prepares receipts with account suggestions based on your chart of accounts and generates a BMD-compatible export for your tax advisor.

Where is my data stored?

Hosting and processing take place in the EU. Access is role-based, tenants are strictly separated, transport is encrypted.

Is IIA a partner of specific telecom providers?

No. IIA is an independent software solution and not tied to any provider. IIA does not rate providers and makes no binding decisions.
